Getting started
What is ProspectKeeper and who is it for?
ProspectKeeper is a CRM and business management tool built specifically for real estate agents. It replaces the spreadsheets most agents use to track contacts, pipeline stages, and commission goals — giving you a cleaner, always-up-to-date view of your business. It is designed for individual agents and small teams who want to stay organized without a steep learning curve.
How long does setup take? I'm not very technical.
You create your company, add your contacts, and set your commission goal. There is no configuration project, no data migration to schedule and no technical background needed.
Can I import my existing contact list?
Yes. Download the template, map your columns and bring the list in from a spreadsheet. If your list is large or messy, write to hello@prospectkeeper.com and we will help you plan the move.
What is the number on every contact?
It is the Client Generated Index — a per-company identifier issued in the order you meet people, like 2026-0132. Every deal that contact brings you takes the next letter: .A, then .B, and so on. Letters are never reused, so the history stays readable years later, and a trashed deal keeps its letter reserved.

How does GCI tracking work?
GCI is Gross Commission Income. You set an annual goal, then commission is tracked against it as deals close. ProspectKeeper shows commission earned to date, the gap to your goal, and pacing — how far ahead or behind you are — while there is still time to act on it.
What happens to email my clients send back?
Replies are captured and attached to that contact's record, so you get a full thread history per contact instead of digging through your inbox. You can also send campaigns from ProspectKeeper with a drag-and-drop builder, templates and audience groups.
Can I text and call from ProspectKeeper?
Yes, from ProspectKeeper Connect upward. Text messaging (SMS and MMS) and a dialer that runs in the browser are both part of the product, including call recording, voicemail and transcripts. Both need a provisioned number, which carries a one-time setup fee, and texting carries a one-time carrier registration fee; the messages and minutes themselves are metered from your prepaid balance at a low cost-based rate.
What is the prepaid wallet?
One balance that covers texting and calls, drawn against a published rate card. You can turn on auto top-up so a call list never stops halfway. It is separate from your subscription, and you only spend it on what you actually send. Email is not billed from it — sending is included in the plan.
Does ProspectKeeper work on mobile?
It is responsive and works in any mobile browser. There is no dedicated iOS or Android app. You can add ProspectKeeper to your phone's home screen for a near-native experience.
Does ProspectKeeper integrate with MLS or other tools?
Not today. ProspectKeeper currently focuses on being the CRM, communications and commission tracker for agents. Tell us at hello@prospectkeeper.com which integrations matter most to you.
Billing & account
Do I have to pay to start?
No. ProspectKeeper Free is free for one person, with no card and no time limit: contacts, deals, tasks, reports and GCI tracking against your own goal. You move up a tier when you want campaigns, texting, the dialer or a team — never because a clock ran out.
Is my data safe? Can I export it?
Your data belongs to you, and every row is scoped to your company so one company's data never appears in another's. You can export contact and pipeline reports as CSV from inside the app. Deletion is a two-step trash with a 30-day window, so a misclick is recoverable.
How do I cancel?
You can cancel any time from your account settings — no phone call, no friction. Access continues until the end of your billing period, and we will send a confirmation email straight away.
